Booking and Confirmation

1. Booking and Confirmation

1.1. All bookings are subject to availability and confirmation by Castlemaine Flyer.

1.2. A booking is only confirmed once you receive a confirmation via email or SMS.

1.3. You are responsible for providing accurate and complete information at the time of booking.

2. Pricing and Payment

2.1. Prices are as quoted at the time of booking and include all applicable taxes.

2.2. Full payment is required at the time of booking.

2.3. We reserve the right to adjust prices due to changes in taxes, regulations, or other factors beyond our control.

3. Cancellations and Refunds

3.1. Cancellations Made More Than 24 Hours Before Pickup

A full refund will be provided.

3.2. Cancellations Made Within 24 Hours of Pickup

A 50% cancellation fee will apply.

3.3. Cancellations Made Within 12 Hours of Pickup or No-Shows

No refund will be provided.

3.4. Credit Option Instead of Refund

3.4.1. At your request, we can issue a credit equal to the amount paid.

3.4.2. Credits are valid for 12 months and subject to availability.

3.4.3. Credits are non-transferable and non-refundable.

3.4.4. Please request a credit at the time of cancellation via email or phone.

4. Changes to Bookings

4.1. Client-Initiated Changes

All change requests must be submitted as early as possible.

Fees may apply as outlined in Section 3.

Time of Change Request Outcome

More than 24 hours prior Full refund or credit (minus any admin fees)

Within 24 hours 50% cancellation fee or credit

Within 12 hours or No-Show No refund; credit may be available

4.2. Airline-Initiated Changes

If your flight is delayed, cancelled, or rescheduled, we’ll do our best to accommodate you without additional charges, subject to availability.

4.3. Castlemaine Flyer-Initiated Changes

If we must alter your booking due to unforeseen events (e.g. vehicle or driver availability), we will notify you promptly and arrange a suitable alternative where possible, at no extra cost.

5. Pickup and Drop-Off

5.1. Departures

Please be ready at your pick-up location at the agreed time.

The driver will wait up to 30 minutes. If you are uncontactable after this time, it will be considered a no-show.

5.2. Arrivals

5.2.1. We monitor flight information to adjust for delays where possible.

5.2.2. If your flight delay exceeds one hour, we may need to reassign your driver or vehicle, which could affect your pick-up time.

5.2.3. You must provide accurate and complete arrival details.

5.2.4. Airport Pick-Up Procedure and Timing

Due to airport restrictions and regular movement of vehicles by airport staff, our drivers may wait a few minutes away from the pick-up zone until you confirm via SMS or call that you’ve collected your luggage and are ready for collection.

Once your message is received, the driver will typically arrive at the pick-up area within 1–2 minutes.

If you proceed to the pick-up area without contacting your driver, a short wait may occur while the vehicle is relocated.

This system ensures compliance with airport rules and helps avoid delays or fines.

6. Luggage and Personal Belongings

6.1. Each vehicle allows up to four large suitcases (max. 23kg each) and one carry-on bag per passenger (up to four passengers total).

6.2. We are not responsible for lost or damaged items.

7. Conduct and Safety

7.1. All passengers must comply with local laws, including wearing seatbelts.

7.2. We reserve the right to refuse service to any person who is intoxicated, abusive, or poses a risk to safety.

8. Liability

8.1. We are not liable for delays or cancellations due to events outside our control, including weather, traffic, flight delays, or mechanical issues.

8.2. Our maximum liability for any claim is limited to the amount paid for the service, unless otherwise required by law.

9. Governing Law

9.1. These terms are governed by the laws of Victoria, Australia.

9.2. Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.

10. Privacy Policy

10.1. We respect your privacy and handle your data in accordance with Australian privacy laws.

10.2. Your information is used solely to deliver our services and is never shared unless required by law.
